How to Create Mail Rules with Microsoft OutLook:

To Begin:

Open Outlook.  Click Tools.  Click Rules Wizard.

Creating a Mail Rule:

The Rules Wizard window will now open. To create a new rule click on New.  Here you will begin the process of configuring a new mail rule.

This window will always be the window you should see.  Even after you create a rule you will first come back here to create more.  Passed rules will show up in the box below where it says "Apply rules in the following order".

Options:  Options here on the Rules Wizard will allow you to either import rules or export rules for use on a different computer.

New Rule:

Types of Rule:  A good general purpose rule is one that will catch a lot of unwanted email by examining the content of your incoming emails.  By using a rule that examines the Subject and Body of an email we can attempt to filter out the unwanted email.

"Move Message based on Content" is a good example of a general purpose rule.  When you click on this rule more options will appear in the box bellow.  Next you will need to input the words and or phrases that you want mail rules to scan for and the folder to which you want the e-mails moved.

Specific words: Here is where you will add the words and or phrases that you find often your spam. When email is delivered to your inbox the rule will scan each e-mail and find these words or phrases.  To add a word enter it into the first box and click Add.  The word or phrase should then drop down to the next box. When you are done entering words this way click OK.

For example, AzWest users who have AzWest’s spam filtering use the phrase: *****SPAM*****

Specified Folder: When you have entered in all the words and phrases you want to scan for, you will need to pick a folder to which you want all this unwanted e-mail moved.  This folder can be the deleted items folder (where all deleted messages are placed) or a folder you have created (right-click to create new folders)..

Exceptions to the Rule:

Often there will not be exceptions but in case there are there needs to be room for them.

If exceptions to a rule arise you can implement them here.  For example, if you added the word Mortgage to your rule because you were getting a lot of unsolicited commercial e-mail dealing with loans, and then you yourself needed to be able to receive e-mail regarding loans from a specific email address, you can choose an Exception for the rule.

Mail Rule Completed:

When your Mail Rule is done you will find yourself at the implementation box.

First you will want to decide if you want this rule to scan your current mail.  If so, then click on the box for this option.  When you have finished your mail rule click OK to leave Message Rules.

More Mail Rules:

To make more mail rules as you just did, repeat the steps above, however instead of going straight to the create mail New rule you start at the Message Rules page (the last image in the series).  Here you will need to click on New to create a new mail rule.
